This template asks for units, tolerances and drawings in the same submission, so your estimator can quote without a round of follow-up emails.

Questions

What should a request for quote form include?

The buyer's name, company, email and phone; what they need; specifications such as material, size, finish or tolerances; quantity and unit; delivery address and Incoterms if relevant; the date they need it; their budget or target price; and any drawings or files. This template has each of these.

What is the difference between an RFQ and an RFP?

An RFQ asks for a price on something already well defined, like 5,000 units of a part. An RFP asks suppliers to propose how they would solve a problem, and price is only one part of the answer.

How fast should I respond to a quote request?

As fast as you can. Buyers often send the same RFQ to several suppliers, so a same-day acknowledgment and a clear date for the full quote help you stay in the running.

Can buyers upload drawings or CAD files?

Yes. The file upload question accepts PDFs and images by default, and you can add other file types in the builder. Uploaded files are stored privately and only your team can open them.

Is this request for quote template free?

Yes. Copy it into a free Dculus Forms account, change anything you like and start collecting responses. No credit card is needed.

Can I change the questions?

Yes. Your copy opens in the form builder, where you can add, remove and reorder questions, change the layout and add your own branding.

Where do the responses go?

Responses arrive in your Dculus Forms workspace. You can export them to Excel or CSV, send them to Google Sheets or a webhook, and get email notifications.

Can I host it myself?

Yes. Dculus Forms is open source (GPLv3), so you can run it on your own servers and keep every response in your own database.
